In this issue of the FreePint newsletter, we explore the theme of successful project management (finding and sharing information). This hinges on the ability to 'ask the right question' at the start of the process and then correctly utilise the wealth of information tools and sources around you to build a key knowledge base.
An important step in matching your 'search' with your 'find' is asking the right question at the start of the process. The clearer the initial questions, the better the research result. Jane John explains this in more depth in her article 'Key to Research Success: Asking the Right Questions'.
She provides eight useful tips for helping to improve the quality of the client's question with the goal of taking the guesswork out of providing the answer. The scoping phase - helping clients to improve the quality of each question they ask - is becoming increasingly important for information professionals.
Once you have defined your question, correctly utilising the various information tools and sources around you to build knowledge is also key to successful project management. Wikis are one of the tools in this process and Scott Brown, in his article 'Wikis at Sun Microsystems: The Ongoing Evolution', describes the development of a cross-enterprise wiki platform as a way to move away from a 'static' web to a world where information can be updated much more quickly and be actively maintained by the group.
It started as a Confluence wiki platform to conduct project management, share data and connect teams internally but SunSpace now is, at its core, a wiki community that integrates functionality from many different social networking tools to create a more complex and nuanced community (internal and external) to share information. With so many employees in thousands of locations, the ability to connect with each other and share information effectively becomes paramount.

My Favourite Tipples

I'm a great fan of popular information and knowledge sharing gadgets, widgets and tools such as Flickr, Twitter, LinkedIn, blogs, wikis, etc, and of collecting (and trying out) knowledge methods such as storytelling. The first three sites below bring together some of these from the perspectives of a knowledge management practitioner and a general manager.
- The Knowledge Sharing Toolkit is part of the CGIAR's (Consultative Group on International Agricultural Research) KM and ICT program. Apart from having a great collection of knowledge sharing tools and methods, it's a useful place to come to see how knowledge sharing initiatives make a difference in the real world.
- The APQC (American Productivity & Quality Center) is a member-based non profit organisation providing benchmarking and best-practice research for its members. I find the Knowledge Base one of the first places to visit when thinking about any new KM initiative, and many of the reports and case studies are free to access.
- I find Businessballs worth browsing to check out templates and hints & tips for many of the popular management tools such as ice-breakers, learning styles tests and market analyses. All the resources are free.
- Dave Snowden's blog on the Cognitive Edge site makes for challenging but entertaining reading. I find his particular views on the KM world worth proper consideration and often wish I was as intelligent as him!
- With a passion for rail travel as the only proper way to experience another country as a tourist, my favourite travel site has to be The Man in Seat Sixty-One. It has timetables, practical information, stories and links to every imaginable site for rail travel in just about every country with a rail system. Even if I'm never likely to travel in North Korea or Mali, it's still a fascinating site.
Jonathan Gordon-Till is an independent consultant in knowledge management (with a particular focus on office spaces and personal networks) and competitive intelligence (with a special interest in the metals markets of Kazakhstan and Russia). He is also employed as global KM Champion for one of the world's largest confectionery companies.

Since their start as a grassroots collaboration tool inside Sun Microsystems, wikis have come a long way. Scott Brown describes the evolution of wikis inside the enterprise and looks ahead at the role they may play for the company in the future.
WHAT'S INSIDE: 'The great thing about the launch of wikis.sun.com was that it provided an enterprise-wide wiki platform; there wasn't the need to try to convince a wiki admin to give you a space. The downside was, at least at the time of launch, there wasn't the ability to have a wiki just for employee use. The wiki had to be external-facing.'
